The Urology Foundation is committed to maintaining the trust and confidence of the researchers who engage with us. This policy outlines how we protect and manage the data we collect from researchers during the application process for grants and other funding opportunities.


Protecting and managing data

Every grant application undergoes our peer review process. Typically, we send proposals to expert reviewers for feedback and evaluate them alongside other submissions in a competitive funding panel.

We handle proposals confidentially, which means we do not share them with external parties except for making funding decisions. However, this confidentiality is not equivalent to a legally binding confidentiality agreement. We expect our reviewers and panel members to respect the confidentiality of the proposals.

If your application is approved, we may publish your abstract on our website and in other research directories. As such, please avoid including sensitive or confidential information in the abstract. If you believe your abstract contains highly confidential information, please contact us at You can then submit a modified abstract suitable for public release.

Should you need to include confidential or unpublished data in your application that should not be accessible to external reviewers, please email this information separately to, distinct from your application form. This data will remain confidential and will be reviewed exclusively by two members of our reviewing panel.

Please notify us if there are any intellectual property, confidentiality, or patient recruitment concerns that could be affected by the external sharing of your research with our stakeholders.

Data collection

When researchers apply for funding, we collect personal and professional information necessary to assess their eligibility and the merits of their proposals. This data may include but is not limited to:

  • Personal identification details (e.g. name, contact information).
  • Academic and professional credentials (e.g. qualifications, affiliations).
  • Research proposal details (e.g. abstract, methodology, budget).

Use of data

The data collected is used exclusively for the following purposes:

  • To assess the suitability of the research for funding.
  • To monitor and evaluate the progress and impact of funded research.
  • To monitor and report on our grants programme, e.g. award rates and trends in application decisions.
  • To comply with legal and regulatory obligations.
